Sending a quote that actually closes

How TradeOS quotes work end-to-end: drafting, AI assist, deposits, expiration, and the small details that move acceptance rates from 40% to 70%.

A good quote is fast to draft, easy to read, and one tap to accept. TradeOS is built around all three of those constraints. Here's how the flow works and where to push for higher win rates.

Drafting a quote

  1. Open a customer and click + New quote.
  2. Add line items. You can pull from your saved Materials library (set up under Settings → Materials) so common parts pre-fill part numbers and prices.
  3. Add labor lines. Labor can be hourly or flat-rate per task. Both show on the customer-facing proposal as one combined number unless you toggle Show line breakdown.
  4. Add an internal note (optional). Internal notes are only visible to your team — they never show on the customer's proposal.

AI photo / voice assist

From the mobile app, tap the camera icon to snap photos of the work area, or hold the mic icon to talk through what you're seeing. Our model drafts an itemized quote in about 8 seconds — parts, labor, and a short scope-of-work paragraph the customer reads first.

Deposits and acceptance

Set a deposit on the quote (percentage or flat amount). When the customer hits Accept on the proposal page, they're prompted to sign with their finger and pay the deposit by card or ACH in the same flow. The whole thing usually takes them under 60 seconds on a phone.

  • Card payments use Stripe; funds settle in 2 business days.
  • ACH is available on amounts over $250 and settles in 3–4 business days. Lower fees, slower money.
  • On the Growth plan and up, you can offer financing through our third-party partner — the customer sees a "Pay over time" toggle.

Sending and follow-up

Pick the delivery method when you tap Send:

  • SMS — fastest. Most customers tap within an hour.
  • Email — the proposal renders as a styled HTML email with a link to the full page.
  • Both — SMS for the nudge, email for the paper trail.

TradeOS auto-sends one polite reminder on day 3 if the quote hasn't been opened. You can disable per-quote or globally in Settings → Notifications.

Small things that move close rates

  • Add 1–2 photos. Quotes with photos close 22% higher than text-only ones (across our beta cohort).
  • Pick an expiration. Default is 14 days. Quotes with no expiration close at half the rate of ones with a clear deadline.
  • Offer a deposit option, not a requirement. "Pay $200 now or in full at completion" closes better than mandatory 50% down for jobs under $2k.
  • Send before lunch. Same-day acceptance rates are highest for quotes sent between 8am and 11am customer-local.
